THE ROLE
We are currently seeking an experienced, adaptable and enthusiastic Office Manager to ensure the smooth running of the company’s Melbourne office, to provide administrative support to the Chief Operations Officer and Chief Financial Officer (PA duties) and to manage ad hoc projects as directed for an immediate start Monday to Friday from 9.00 am to 5.30 pm, Dorcas Street/South Melbourne in Melbourne. 
 
The successful candidate will have:
  • Excellent communication skills (verbal and written) in English
  • An excellent phone manner
  • Time management skills
  • Interpersonal Skills - ability to communicate effectively at all levels
  • Excellent problem solving skills
  • Attention to detail
  • MS Office - Intermediate Level
Responsibilities may include:
  • Personal assistant duties to the Chief Operations Officer and Chief Financial Officer. Specifically:
    • Travel and accommodation booking as required
    • Calendar and management of contacts as required
    • Scheduling and rescheduling of appointments
    • Management of expenses and credit cards
    • Other ad hoc requests
  • Coordinate all travel bookings for employees as requested
  • Receive all visitors to the company, ensuring their needs are met and that they are presented a favourable impression of the company.
  • Supervise the collection and delivery of incoming and outgoing mail and faxes to ensure prompt delivery to the correct addresses, internally and externally.
  • Manage couriers and parcels in accordance with the designated courier vendor
  • Submission of purchase requisitions for office supplies, and ordering and buying of office supplies
  • Coordinating and organising boardroom meetings, client visits and travel for company employees
  • Coordinate and resolve all building maintenance issues
  • Other ad hoc projects and administrative tasks as requested by the P&C Manager.
Would ideally suit an Australian or Permanent Resident.
